Private AI Workflow Training for Physician-Owned Practices

Chart Faster.
Protect PHI.
Get Home Earlier.

A private implementation session for physicians who want Claude or ChatGPT to become useful in real clinical workflows. We set up your workspace, install practical templates, and teach a de-identified process for drafting SOAP notes without putting real PHI into consumer AI tools.

The Problem

The Chart Burden
Is Unsustainable.

Physicians spend more time on documentation than they should. The AI tools exist, but most doctors need a practical workflow that respects patient privacy and fits the way they already chart.

2 to 4 hrs

Lost Every Day to Documentation

Studies consistently show physicians spend 2 to 4 hours per day on EHR documentation. That's time away from patients, family, and rest.

After
Hours

Charts Don't End at 5 PM

Unsigned notes and inbox messages follow physicians home every night. The clinic closes at 5, but the laptop often stays open.

Behind
on AI

The Tools Exist. The Training Doesn't.

AI tools can help with documentation, portal replies, referrals, and administrative drafts. The missing piece is a practical, safe way to start using them.

The Transformation

Your Day,
Re-Engineered.

The goal is not to make AI impressive. The goal is to make it boringly useful inside the work you already do every day.

Before
  • Notes rewritten from scratch
Free-texting the same structure again and again after visits.
  • Notes finished at 9 PM
From your couch. After dinner. Again.
  • Unsigned notes by Friday
A backlog that follows you into the weekend.
  • AI feels out of reach
You've heard about it. You haven't started.
After Your Session
After
  • Drafts generated for your review
Once the template matches your style, AI produces the first pass. You remain the clinical source of truth.
  • Notes done at the clinic
Walk out at 5. Eat dinner with family. Sleep.
  • Reusable workflows beyond SOAP
Portal replies, referral letters, patient education, prior auth drafts, and more.
  • A repeatable privacy workflow
You learn what to remove, what to keep, and where the physician must review.
The Value

Workflow Leverage

We avoid promising a universal payback number. The point is simpler: once the templates match your charting style, every note, message, referral, and admin draft starts from a better first pass.

Your Private Session

What We Build
Together

One-on-one, remote or in-person locally. We set up the AI workspace, tune the templates around your real documentation patterns, and practice with de-identified examples until the workflow makes sense.

01
Step 01

Account Setup

We choose Claude or ChatGPT, configure the workspace, and make sure you understand the PHI boundary before any clinical examples are used.

02
Step 02

Templates Installed and Tuned

SOAP note drafting comes first, then we add the supporting prompts most relevant to your practice and specialty.

03
Step 03

Live Walkthrough

We run de-identified cases through the workflow and revise the prompts until the output sounds like something you can actually edit and sign.

04
Step 04

Walk Out Ready

You leave with a practical prompt library, a de-identification checklist, and enough repetition to use the workflow on your next clinic day.

● Built for daily use
Prebuilt Prompts

Templates That
Actually Work.

Built with a practicing physician and tested against de-identified clinical scenarios. Designed to produce useful drafts for physician review, not generic AI chatter.

## Role
You are a clinical documentation assistant. Generate a structured SOAP note

HIPAA + Privacy

Let's Be Clear
About PHI.

Consumer Claude.ai and ChatGPT are not covered by a BAA by default. We do not work around that. We teach a de-identification workflow that keeps real PHI out of consumer AI tools.

You CAN paste this

  • De-identified encounter summaries (no name, DOB, MRN, address, or dates)
  • Chief complaint and symptom descriptions (no identifiers attached)
  • Lab values and vitals stripped of all patient identifiers
  • General clinical language for drafting or brainstorming

Do NOT paste this

  • Patient name, date of birth, or MRN
  • Address, phone number, or email
  • Dates of service, admission, or discharge
  • Any direct copy-paste from your EMR without de-identification first

Need to use real PHI? There's an upgrade path.

Anthropic and OpenAI both offer enterprise paths with Business Associate Agreements (BAAs), making their tools HIPAA-eligible for covered entities. That is outside the scope of the standard training session, but we can help you understand the next step if your practice needs it.

Disclaimer: This service provides AI workflow training, not legal, medical, or compliance advice. Physician remains solely responsible for all clinical documentation. Consult your compliance officer for HIPAA determinations specific to your practice.

Who's Behind This

Built With a Physician.
Not Just For One.

AI Daily MD is a service of Twisted Square Design, a web security and performance engineering firm. We help people build safer digital workflows, and now we are applying that same discipline to physician-facing AI training.

The SOAP note workflow at the core of this service was built directly with an MD client and refined through de-identified clinical use. We are not guessing at what physicians need. We built it alongside one.

Our goal: get you from "I have heard of AI" to "I know exactly where it helps, where it does not, and how to use it safely in my practice."

From a Client
"I was spending 2+ hours every night finishing charts. After we tuned the SOAP workflow to my style, I had a reliable first draft that I could review and edit quickly. I still review and sign every note. It is still my chart."

FAQ

Common Questions

Is this HIPAA-compliant?
The de-identification workflow we teach is designed to keep PHI out of consumer AI tools entirely. Consumer Claude.ai and ChatGPT are not BAA-covered by default, so they are not HIPAA-eligible services in themselves. We make this explicit, teach the safe workflow, and point you to enterprise upgrade paths if you need a BAA. This service is workflow training, not a compliance determination. Consult your compliance officer for your specific situation.
Which AI tool will we use?
We can set up either Claude or ChatGPT. Claude is strong for persistent project instructions and template libraries. ChatGPT is familiar to many physicians and can be configured with custom instructions or GPT-style workflows. You pick; we configure the tool around your workflow.
What if I'm on Epic, Cerner, or Athena?
The workflow runs alongside any EMR. You draft in AI using de-identified inputs, then paste the reviewed note into your EMR, whether you use Epic, Cerner, Athena, Practice Fusion, or another system. Nothing integrates directly with your EMR system.
Do I need to install anything?
No software to install. Claude.ai and ChatGPT both run in any web browser. You just need a computer or tablet and a stable internet connection. We handle setup during the session.
Can my staff use these templates too?
Yes, but carefully. Front desk staff could use templates for scheduling scripts or patient communication drafts. MAs could use them for pre-visit summaries. Any AI-generated clinical content must be reviewed and signed by the physician before it enters the chart. Separate accounts per staff member and a clear review workflow are essential. The full buildout or follow-up session is a good place to tackle this.
